ICF GCC President

Term: One year or as determined by the Board and Chapter Bylaws

Qualifications: 

  • Local chapter member in good standing with previous service as Vice President (or other Board Position if the immediate past Vice President is unavailable)

  • Knowledgeable of the activities/affairs of the chapter

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good communication and organizational skills

  • ICF Global member 

Specific Responsibilities:

  • In case of a tie vote, serve as tie-breaker voting member of the Board of Directors

  • Ensure development and facilitation of a long-range strategic plan and annual plan

  • Communicate with chapter officers and Board members to ensure that all assignments are completed in support of the chapter's strategic plan and goals, and that the membership is advised of all progress

  • Serve as chair of all meetings/ Board meetings

  • Act as official spokesperson of the chapter

  • Appoint members of standing and special committees/teams and relieve any inactive committee members with approval of the Board

  • Ensure Chapter adherence to Chapter Bylaws, Policies and Procedures

  • Serve as an ex-officio member on all committees/teams except the Nominating Committee

  • Prepare the Annual Report in concert with the chapter secretary. This includes reviewing chapter activities and finances within 90 days of the end of the fiscal year and present to membership and ICF headquarters

  • Act as support/mentor to Vice President/President Elect

  • Serve as liaison between the chapter and ICF Global Headquarters

  • Ensure Chapter compliance with ICF Headquarters 

  • Serve as a member of the Southeast Regional Forum or appoint a designee

  • Performs any other duties as assigned by the Board of Directors

  • Maintain role’s respective written/digital records of the organization in shared access repository for Board

Time Commitment:  

  • Regular attendance at Board meetings and other pertinent committee meetings

  • Attendance at the official chapter activities and functions within the constraints of the chapter’s geography

  • Attendance at ICF Global Leadership Forum and ICF Annual Conference or appoint a designee(s)

ICF GCC Vice President / President Elect

Term: One year or as determined by the Board of Directors and Chapter Bylaws

Reports to: President

Qualifications: 

  • Local chapter member in good standing with previous service in a Board position

  • Knowledgeable of the activities/affairs of the chapter

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good communication and organizational skills 

  • ICF Global Member

Specific Responsibilities:

  • Serve as voting member of the Board of Directors

  • Serve as direct support to the Chapter President

  • In the absence of the President, perform the duties of the President 

  • Attend monthly board meetings, chapter events and committee meetings

  • Submit agenda items for Board meetings in advance of meetings

  • Keep knowledgeable about chapter activities in order to take over for or represent the President

  • Support and defend policies and programs adopted by the Board of Directors

  • Perform other duties that may be delegated by the President and/or Board

  • Ensure the chapter adheres to minimum chapter standards 

  • Assist President to create strategic plan and process for various committees/initiatives and their respective responsibilities.

  • Act as coach, advisor and counselor to board members and committees 

  • In conjunction with the Program Committee Chair lead the development of the Annual GCC in-person conference

  • Report on the strategies, successes and challenges of committees to Board

  • Conduct transition meeting with successor

  • Ensure the fiscal responsibility of the committee(s) to which position is assigned, work in collaboration with committee Chair(s) and Treasurer as needed to do so

  • In collaboration with the President, establish and facilitate an orientation program for the incoming Board 

  • Maintain role’s respective written/digital records of the organization in shared access repository for Board.

  • Helps President maintain contact with ICF Global and keeps members informed about issues regarding training requirements and other events and issues.

  • Connects with other ICF chapters to share ideas and resources and engage them in chapter activities (e.g., regional conferences or virtual events).

  • Serve as Southeast Forum representative for Chapter

Time Commitment: 

  • Regular attendance at Board meetings and other pertinent committee meetings

  • Attendance at the official chapter activities and functions within the constraints of the chapter’s geography

ICF Gulf Coast Treasurer

Term: One year or as determined by the Board and Chapter Bylaws

Reports to: President and Vice President

Qualifications: 

  • Local Chapter Member in good standing

  • Previous service on Board of Directors, preferably in a financial capacity 

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good organizational skills

  • ICF Global Member 

Specific Responsibilities

  • Serve as voting member of Board of Directors

  • Attend monthly board meetings, chapter events and committee meetings

  • Submit agenda items for Board meetings in advance of meetings

  • Support and defend policies and programs adopted by the Board of Directors

  • Responsible for ensuring the fiscal responsibility for the organization.

  • Conduct transition meeting with successor

  • Perform other duties that may be delegated by the President and/or Board

  • Present up-to-date financial statements at each Board meeting

  • Maintain proper accounting procedure for the receipt and handling of funds, maintenance of financial records, and paying all authorized invoices. This may also include developing policies and procedures for consistent handling of finances.

  • Manage payment/financial receipt of program/chapter funds through Quickbooks

  • Ensure safekeeping of chapter funds in such banks, trust companies, and/or investments as approved by the Executive Board

  • Renew all permits and authorized post office boxes

  • Prepare annual operating budget and ensure compliance once approved by the Board 

  • Ensure chapter maintain corporate status with State Division of Corporations

  • Comply with all governmental tax regulations and file chapter tax reports as required (if receipts exceed $25,000 annual)

  • Manage and supervise chapter financial efforts, including:

  • Strategic Alliances - Sponsorships, partnership marketing

  • Investments & Reserves - prudent reserves

  • Ensure chapter complies with ICF Chapter financial reporting requirements

  • Record meetings, capturing topics covered, decisions and actions required at all board, and special meetings including accountabilities assigned and timing of action/follow-up.  Provide digital copy to Board within two (2) business days.

  • Maintain role’s respective written/digital records of the organization in shared access repository for Board

ICF Gulf Coast Secretary

Specific Responsibilities

ICF Gulf Coast Membership Chair

Term: One Year

Position Summary:  Manage the activities of the chapter including recruitment strategy, determining membership needs, promoting chapter involvement, retaining and engaging current and future members and ensuring continued Charter Chapter status for ICF (minimum 50 active members). 

Responsible to: 

  • The members of the chapter

  • The chapter president and board

Qualifications: 

  • Local chapter member in good standing 

  • Knowledgeable of the activities/affairs of the chapter

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good communication and organizational skills

  • ICF Global member

Specific Responsibilities

  • Coordinate membership efforts with board of directors and other Gulf Coast Chapter members to best serve the chapter membership

  • Serve as resource and liaison to committee members in directing membership efforts and ensuring they are aligned with chapter goals

  • Maintain chapter’s membership list(s)/database

  • Coordinates with Board of Directors and ICF Global to align membership counts and activities according to global and local chapter records

  • Provide monthly report including names of active members, affiliates, new members, non-renewals, and prospects

  • Works with Board of Directors to identify various membership levels/pricing during membership renewal season

  • Develop Welcome Kit/process cycle and materials/brochures to introduce new members into the chapter with a warm welcome

  • Contact prospective members and new members as appropriate to inspire high engagement where possible

  • Follow up with prospects who attend various meetings or webinars, acting as resource to answer any membership questions

  • Participate in the development and implementation of short-term and long-term strategic planning for the chapter

  • Perform other duties as assigned by the President and/or Board

  • Maintain role’s respective written/digital records of the organization in shared access repository for Board

Time Commitment: 

  • Regular attendance at the official chapter activities and functions (Webinars, Annual Workshop, local meet-ups, etc.) within the constraints of the chapter’s geography

ICF Gulf Coast Programming/Professional Development Chair

Term: One year or as determined by the Board and Chapter Bylaws

Position Summary: Develop and manage the learning activities of the chapter to provide relevant and compelling  monthly programs for the chapter membership. 

Responsible To: 

  • The members of the chapter

  • The chapter president and board

Qualifications: 

  • Local chapter member in good standing 

  • Knowledgeable of the activities/affairs of the chapter

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good communication and organizational skills

  • ICF Global Member

Specific Responsibilities:

  • Develop the calendar for the monthly programs, selecting topics and speakers to provide information of broad interest to chapter members.  Engage Committee Member(s) to support this development process.

  • Recruit member(s) to serve on program committee.

  • Coordinate program efforts with other members of the chapter board of directors to best serve the membership.

  • Contact potential speakers and make arrangements for scheduled webinar/meetings.  Write marketing materials for website, email blasts, and other media.

  • Provide information regarding programs to the newsletter editor, members, and others through presentations, written communications, and personal contact.

  • Host the webinar—introducing the speaker, recording the presentation and managing Q&A.  Review final preparations for meetings to assure that meetings run smoothly. Arrange for speaker written thank you.

  • Review program evaluations for feedback to be used in planning future events.

  • Participate in the development and implementation of short-term and long-term strategic planning for the chapter.

  • Represent the chapter in the coaching community.

  • Understand and follow process for obtaining CCEU from ICF Global and issuing to program participants.

  • Develop and manage the presenter evaluation process.

  • Programming events include monthly chapter webinars, virtual connections, annual workshop and special events

  • Maintain role’s respective written/digital records of the organization in shared access repository for Board

Time Commitment:  

  • Required attendance at monthly webinars (or find substitute host)

  • Lead program committee meetings as necessary

ICF Gulf Coast Communications Committee Chair

Term: One year or as determined by the Board and Chapter Bylaws

Position Summary: Manage the activities of the communications committee to provide relevant and informative communications for the chapter membership and the community. 

Responsible To: 

  • The members of the chapter

  • The chapter president and board

Qualifications: 

  • Local chapter member in good standing 

  • Knowledgeable of the activities/affairs of the chapter

  • Willing to give the time, energy, talents and enthusiasm required of the position

  • Good communication and organizational skills

Specific Responsibilities:

  • Chair meetings of the communications committee

  • Recruit members to serve on communications committee

  • Coordinate communication efforts with other members of the chapter, board of directors and other committees to best serve the membership

  • Develop and implement a strategy for the organizational communications including management of various channels

  • Responsible for ensuring consistency in all communications so that they reflect Mission, Vision, Values of chapter and ICF branding both internally and externally.   This includes all communications to the membership - email, social media, website and newsletter.

  • Ensure chapter communications are cohesive, aligned and stored in collective chapter repository

  • Responsible for the photography during meetings for ICF chapter use.

  • Has full administrative rights for the website to make content and design enhancements and updates.  Reviews and approves all changes to the website to maintain overall consistency with Brand and strategic chapter guidelines.  

  • Manage Communications products/channel including and as appropriate: 

    • Wild Apricot website 

    • General emails/President Message/Updates

    • Oversight and guidance for all member communication

    • Newsletter

    • Photos

    • Videos

    • Social Media Platforms

  • Curate content for all products/channels

  • Disseminate information for members to connect outside of meetings.

  • Oversee proper use of branding/marketing collateral (e.g. meeting signage, logos, event marketing  materials, etc.)

  • Create and manage communications project plan for chapter events

  • Communicate the engagement opportunities identified by the Board, membership and programming committees

  • Participate in the development and implementation of short-term and long-term strategic planning for the chapter

  • Represent the chapter in the coaching community

ICF Gulf Coast External Affairs Director 

Description

The External Affairs Director coordinates the Chapter’s relationships within wider communities, specifically developing and overseeing sponsorships and managing community relationships. Other duties include helping to develop and focus the Chapter’s capacity to establish strategic partnerships, and supporting the chapter’s communications, marketing, and media relations to establish and strengthen relationships and build awareness of Chapter and ICF coaching.

Areas of Focus
Community Relationships

  • Lead and coordinate activities for International Coaching Week.

  • Where possible, and as needed, work with the board to recruit, lead, and support volunteers who can act as liaisons with each agency, organization, or business in the strategic plan. Representatives could be:

    • Coordinator for pro bono coaching initiatives

    • International Coaching Week Planning Committee members

    • Lead contact for each professional association

Sponsorships and Partnerships 

  • Work with the Professional Development Director and Communication Director to seek and secure sponsorships for chapter events.

  • Assure that sponsors and participating chapter members receive the benefits established by the sponsorship agreement.

  • Lead the Board in developing standards, guidelines, and processes for assessing and developing partnership opportunities. 

  • Help to seek and secure strategic partnerships in line with chapter values and objectives.  

  • Manage and support partnership and ongoing relationships. 

  • Help communicate within the Chapter about sponsorships, partnership relationships and opportunities.

Chapter Leadership Synergies

  • Work with the Communication Director to support the Chapter’s communication, social media, and media relations to establish and strengthen relationships while building awareness of Chapter and ICF coaching. 

  • Manage development of communication pieces for and about external relationships. 

  • Work with the Director of Professional Development/Programs to support the Chapter’s programming. As possible provide recommendations for event speakers, make connections to expand programming offerings and reach. 

  • Engage in Chapter activities and support activity planners to build relationships with new members, guests, and community affiliations. Notice and work with how these relationships may also connect the Chapter in the wider community. 

  • Support strategic planning and other chapter leadership activities as they relate to external relationships.

  • As needed, support the Chapter’s relationships and engagement with other ICF chapters and the ICF Southeast Regional Forum of chapter leaders. 

  • Develop a succession plan for role and support the transition of a successor.

  • Act as liaison between ICF Gulf Coast and Gulf Coast community, promoting ICF Gulf Coast as the leading organization locally for professional coaches; and ICF Global as the leading organization for professional coaches globally

  • Reach out to members to encourage engagement 

  • Network with chapter members and Global members who are not local chapter members to encourage engagement and contribution

Social Media Lead (Non Board Position) – Draft Position Description

Description

The Social Media Lead works with the Communication Director to develop and manage the Chapter’s social media channels, including Twitter and Linked in order to  build awareness of the chapter, and ICF coaching. 

Areas of Focus

Planning

  • With input from the Communications Director, develop a yearly plan for social media that supports communication, external affairs, and other board priorities and initiatives. 

Social Media Channels

  • In alignment with the Chapter’s vision, values, priorities, and initiatives, develop and manage the chapter’s engagement on social media channels, including Twitter and LinkedIn.

  • With the Communications Director develop and maintain the Chapter’s strategies and positions on engaging with additional media channels.

  • Develop an editorial calendar to assure posts are relevant and adhere to ICF standards.

  • Respond to queries and post comments.

Chapter Leadership Synergies

  • Support the Chapter’s additional communication efforts with coordinated focus and engagement on social media platforms.  

  • Assist the Chapter’s programming and events work to raise awareness and engagement for these events and help carry out plans to continue and deepen the engagement of participants in these events. 

  • Work with the Communication Director to enhance the Chapter’s membership function, specifically helping to engage and serve members and build up Global and Chapter memberships and affiliations with social media engagement to raise awareness and understanding of opportunities and benefits of association with chapter and with ICF Global.

  • With the Communication Director, work with the Chapter’s external affairs leadership to build awareness and strengthen chapter networks in alignment with the priorities and opportunities developed in the chapter for our external communities and relationships. 

  • Assist Communications Director to participate in strategic planning and other Chapter leadership activities as they relate to social media channels and relationships.
